A policy in the handbook doesn't stop someone pasting a client file into ChatGPT at 8 PM on a deadline. Enforcement has to happen where the work happens: inside the AI tool, before the message leaves.
Get it signed
Everyone signs at hire and whenever the policy changes. Several states, including New York, Connecticut and Delaware, require employers to give notice before monitoring employees electronically.
Make the approved tool the easy choice
When the company pays for one good AI tool, people stop reaching for personal accounts, and the rest of the policy gets much easier to follow.
